We strongly recommend that you read these instructions before you begin your application. This will allow you to prepare the necessary information in advance. In addition, reviewing the technical tips below will help to avoid technical difficulties when filling out the form.

Technical Tips

Some general tips when filling out the request form: 

    For questions requiring a selection from a drop-down menu, always select the response that best corresponds to your situation. PLEASE NOTE: In some instances the selection you make will prompt an additional sub-question asking you to provide further details.
  • For questions requiring text entry, always answer clearly, concisely and in point form. This will make your request easier to review and evaluate.
  • All questions must be answered before continuing to the next page or submitting your request. To make it easier for you to proceed through the form, a will appear next to each completed question. Missed questions or questions that have been answered incorrectly will be marked with an  

Navigation through the request form: 

  • To help you to see your progress, there is a gauge at the top and bottom of each page showing how far through the request form you are at any given time.
  • To move from one question to the next, use either the Tab key or the mouse (cursor). The Enter key will not move you from one question to the next. When entering text data in point form, use the Enter key to move down within a single text box.
  • To move from one page to the next, click on the Next page button located at the top or the bottom of the current page. (The Back / Forward buttons on your browser are disabled while you complete the form.)
  • If you want to return to a previous page, click on the Previous page button located at the top or bottom of the current page. (The Back / Forward buttons on your browser are disabled while you complete the form.)
  • Should you be unsure about a question, press the List of Questions button located at the top or bottom of the page. This will take you directly to the section of this guide that gives further explanation of that question.

1) Part One - Organization Profile

In this section you will be asked to provide some general information about your organization. Keep in mind that the questions in this section pertain only to your organization and NOT to the particular request you are currently making. 

The questions you will be asked are as follows:

What is the full name of your organization? 
Enter the FULL name of your organization. Incomplete names will make the evaluation of your request difficult. Please ensure the spelling and any punctuation is correct. 

Is this a CRA-registered charity?
Please select yes or no. If yes please enter your 15-character CRA registration number in the form XXXXXXXXXRR0001.

IMPORTANT NOTE: If you are a registered charity, you must enter your organization's registration number (i.e., Canada Revenue Agency [CRA] Business Number). If you do not know or are unsure of your organization's registration number, contact your organization's Executive Director, lawyer or accountant. Are you a WestJet Cares for Kids or National partner? Or are you requesting a donation for an event that benefits one of our partners?
Please click here to review the list of our partners. In this section you will be asked to select the National organization.

If you are a WestJet Cares for Kids or National Partner, please enter your voucher redemption number provided
If you do not have this number, please contact the organization you are supporting to discuss your event and request for support from WestJet as you are not able to proceed without it. Also, if you are redeeming more than one voucher number for multiple events, please specify that information.

If your organization has a Web site, we invite you to include the URL or Web address. We are interested in your organization and this provides us with an excellent way to find out more about your organization and its ongoing endeavours.

Select yes or no. If you select yes and if you work for WestJet and volunteer with this organization, please use the internal "WestJetters Caring For Our Community" portal on Westnet. If you're a WestJetter that also works for this organization, please proceed.



2) Part Two - Contact Information

In this section you will be asked to provide information that will allow us to contact you during and after the evaluation of your request. Please be sure to enter all the information correctly. Information entered incorrectly will make the evaluation of your request difficult.

Organization Contact Information

Please tell us about the primary contact person at your organization
We ask you to provide the following information for yourself or the primary contact person at your organization regarding this request:


  • Name
  • Title: This is your position in the organization (i.e. Executive Director, Fund Development Manager etc.)
  • Telephone number and extension (if applicable)
  • Email Address: a current e-mail address (required). This is very important, as all updates on the status of your request will be communicated to you through e-mail. If you are applying through a third party's computer and do not have your own e-mail address, there are online services available that provide free personal e-mail addresses (e.g., Hotmail.com or Yahoo.com). Regretfully, failure to provide an e-mail address will make the evaluation of your request difficult and will make it impossible to provide you with updates on the status of your request.
  • Street Address: enter the complete street address of your organization.
  • Country: select the appropriate country, you will then be asked to select the appropriate province, territory or state.
  • Postal Code/ Zip Code: ensure you enter the correct Postal Code/ Zip Code.

3) Part Three - Request Profile 

In this section you are asked to provide information about the type of request you are making. We require detailed information that you may wish to collect or prepare in advance.

 

What kind of request is this?

You will have two categories to choose from: Event Support or Speaker Support. Ensure that you understand the difference and select the appropriate category. (Click here for definitions). Different questions will be asked depending on the selection you make.


EVENT SUPPORT


How many events are included in this request?
Select the number of events associated with your request. You will be asked to provide the name, location, start and end date of the event.

For each Event please provide the following information:

  1. Briefly describe this unique event
  2. Name / Venue / City / Province/State
  3. Start Date / End Date
  4. What is the anticipated attendance?
  5. What type of support are you requesting? (raffle prize, auction item, in-kind etc)
  6. How will our donation benefit your organization? (Be specific and provide measurable outcomes if possible)
  7. Contact Information ( if different than Part 2)

How will our donation benefit your organization?

SPEAKER SUPPORT

What is the name of the speaking engagement?


Please provide details of the speaking engagement.

You will be asked to provide details of the event; the event name, location, start and end date of the event, the anticipated attendance, type of event name, and predominant audience age


Will there be media present at the event?
You may select Yes or No. If you select Yes, you will be required to explain further.


Will audio/visual equipment be supplied?
You may select Yes or No. If you select Yes, you will be required to explain further.

4) Part Four- Background Information

This section is very important to us as it is here that you will be able to describe, in your own words, your initiative. Using these guidelines, please take time to prepare your answers thoroughly before you attempt to complete the form on-line. In order to evaluate your request effectively, it is essential that you describe your proposal clearly and concisely.

Please note our process often includes verifying this information with our peers at other corporations.


Has your organization worked with WestJet, WestJet Vacations, or any of our teams/airports/groups before?

Select yes or no. If you select yes, briefly describe their involvement.


SPEAKER SUPPORT
Briefly describe your event. (Please use point form and limit to a total of 100 words.)
In general but concise terms, describe your event. Explain the current situation, the need, or the opportunity that exists. Tell us what your organization plans to do and why. Use point from wherever possible.

Topic and description of what the WestJet speaker should be prepared to discuss?
Please provide details of the conference content/ subject matter, how it relates to what you would like the speaker to discuss and what you would like to accomplish by having a WestJet speaker at your event.

Has your organization worked with WestJet, WestJet Vacations, or any of our teams/ airports/ groups before?
Select yes or no. If you select yes, you will be asked to list any previous events.

Will expenses be covered for the speaker?
Select yes or no. if you select yes, you will be asked to explain further.

Does your organization provide speakers with a honourarium?
Select yes or no. if you select yes, you will be asked to explain further.


5) Part Five - Review Request

Your request is now ready to submit. 


At this point, you will be given an opportunity to review your completed application carefully and make any necessary changes before your submission. If you would like to go back to correct or re-enter information, use the Previous page or Next page buttons at the top or bottom of the application form. (Please note: the Back / Forward buttons on your browser are disabled while you complete the form.)

Before submitting the completed request form, we recommend you print a copy of Page 5 for your records. Simply click on the Print page button on the request form. 

When you are ready to submit, click the Submit request button at the bottom of Page 5. Please ensure you hit submit or your application will not be sent through to WestJet for review. Once you have submitted your request you will be unable to retrieve your request and make any changes. You will see a message on your screen confirming that we have saved your application. Upon submission, an e-mail message confirming receipt will be sent to you within 30 minutes. We will then continue to correspond with you through e-mail, keeping you up-to-date on the current status of your request. Due to the large numbers of requests that we receive daily, we are unable to confirm receipt of individual requests or provide status updates by telephone.

IMPORTANT: WestJet requires all requests to be submitted online for the evaluation process to be completed. Requests sent by fax, or mail or email will not be accepted. WestJet would like to thank you for your cooperation and patience with our online application process for all donation and sponsorship requests.
